Basic Directions

In order to use the system, please follow the instructions provided here. Please be aware that you may experience some delays in accessing the system during the first few days of the Fall session. This is due to the large number of your classmates who will be entering and setting up their mailboxes. Any difficulties you experience in accessing the system should be alleviated once mailbox setup procedures have been completed.

Guide to General Mailbox Setup

To allow callers to leave messages for you and to allow you to retrieve your messages, it will be necessary for you to setup your mailbox as follows:

  1. From campus, dial 2230. From off-campus, dial 610-660-2230.
  2. Press #.
  3. Dial your 4 digit mailbox number. If you did not receive your voice mailbox number in your campus post office mailbox, you can obtain this number by visiting us in the Data Center in Barbelin during ‘move in’ weekend or by visiting our offices in Barbelin 30 during normal work hours. Please note that your mailbox number is not the same as your extension.
  4. The first time you enter your mailbox, you will be asked for your temporary password. Your temporary password will be your student ID number. Enter this number. If you have two id numbers, and one does not work, try the other one.
  5. You will then be asked to change this password. Please enter a new 4 to 15 digit password. Be sure to select a password that is easy to remember. We cannot retrieve your password for you if you forget it. If you do forget this number, please contact the Help Desk and we can reset it to a default number for you.
  6. The system will then prompt you to record your name. Your name must be recorded, so that callers can leave you a message.
  7. The system will then prompt you to record a greeting. Press ‘2’ to record a personal greeting, rather than a standard greeting, and follow the instructions provided by the system.
  8. The system will then provide a reminder and your mailbox will be created.

Guest Mailbox Creation and Operation

As an enhanced student feature, you will also be able to create guest mailboxes within your own mailbox. A user of a guest mailbox will be able to leave you messages from the guest mailbox and also retrieve messages that you have left in their guest mailbox. This may be used for messaging with a parent, sibling, or other non-resident. The user of the guest mailbox will not be able to access your personal mailbox messages as long as you do not divulge your personal mailbox password.

To setup a guest mailbox:

  1. From the main menu prompt (after entering your mailbox), press ‘4’ for personal options.
  2. Press ‘2’ for Administrative Options.
  3. Press ‘1’ for Passwords.
  4. You actually have two guest mailboxes and 1 ‘home’ guest mailbox. Each of these can be set up individually. The 'home guest mailbox' number is 93 for every student mailbox. The other guest mailbox numbers are 91 and 92. To set up your home guest mailbox, press ‘2’.
  5. The system will prompt you to establish a new password for this ‘home guest mailbox’.
  6. Give this password only to your ‘home guest’ (e.g. parent/guardian).

To leave a message for your ‘home guest’:

  1. Press ‘2’ from your main menu.
  2. Record a message.
  3. Press ‘#’ to end your message.
  4. Enter the 2 digit destination mailbox number (e.g. ‘93’ for your home guest mailbox).
  5. Press # to send/confirm.
  6. Follow the instructions provided by the system.

To retrieve his/her messages from the home guest mailbox:

  1. Your home guest will dial 610-660-2230.
  2. He/she should then press ‘#’.
  3. He/she will then be prompted to dial your 4 digit mailbox number. Note that this is not the 2 digit home guest mailbox number (e.g. 93).
  4. The system will then prompt for a password. He/she should dial the password you assigned for your home/guest mailbox.
  5. He/she can then listen to messages that you have recorded and sent to him/her.

To send a message to you:

  1. He/she can press ‘2’ at the menu prompt, once he/she has followed the procedures cited above to enter his/her home guest mailbox.
  2. He/she will be prompted to record and send a message.
  3. Press ‘#’ to end the message.
  4. Follow the instructions provided by the system.

General Instructions and Shortcuts For Mailbox Use

To access your mailbox:

  1. Call extension 2230.
  2. Press ‘#’.
  3. Enter your 4 digit mailbox number.
  4. Enter your password.

To send messages from your mailbox, after you have accessed your mailbox:

  1. Press ‘2’ to record your message.
  2. Press ‘#’ to end your recording.
  3. Enter the destination mailbox number.
  4. Press # to send the message.

 

While listening to your messages you may control playback by pressing the telephone keys as follows:

After each message you may use the following keys:

How to Change Recorded Name and/or Greeting

In Main Menu press:

4 3 1 To Record Greetings

4 3 3 To Change Recorded Name

Record your name and/or greeting and then press the # key.


Tips & Techniques

  1. All new messages are kept for 15 days. Saved messages are kept for 15 days.
  2. Your mailbox will hold a total of 10 messages at one time - new and saved.
  3. The maximum length of a message you can receive is two minutes.
  4. Callers will never hear a busy signal. Your calls will be automatically forwarded to your voice mailbox if you are on the phone.
  5. You can change your recorded name, greeting, and password as often as you like.
  6. Pressing * will return you to the Main Menu or previous menu depending on what function is being performed.
  7. Messages are heard in this order: Urgent, Non-urgent, Skipped, Archived.
  8. To skip one message, press #. To skip archived messages press # #.
  9. If you press a wrong key simply press * to cancel or back up.
  10. To exit the system continue pressing * until the system tells you goodbye.

* Please note, for instance, that an-on-site operator, who is referenced on one of the prompt menus, is not currently available. For assistance, you should contact the Help Desk at 610-660-2920. Also, we have not activated fax messaging, so please disregard any reference to this.
