Banner FAQ's

What is Banner availability?

Banner availability: The Banner system is available throughout each day except between 1:30am and 2:30am when system backups are performed.

Scheduled Maintenance: Scheduled Banner maintenance will be communicated to faculty and staff via email and posted as an announcement on MySJU, the University's information portal.

Reporting Emergencies: Report Banner emergencies by calling the University Help Desk at 610-660-2920, Monday through Thursday, 8am - 7pm and Friday 8am - 5pm. To report Banner emergencies after business hours, contact the Security Office at 610-660-1111.

What does 'Next Block', 'Rollback' and all those other buttons mean?

Form
Clear Form/Rollback – Clears or blanks out all the blocks of the current form on all pages of the form and rolls back to the key block. The form is now ready for new data entry or a new query. It does not delete existing information from the database. If you had entered new information or changed information and had not selected Commit (Save) before you selected Clear/Form/Rollback, the information will not be saved.
Command Menu – Displays a top-down menu bar for use with the mouse.

Block
Block Menu – Lists all blocks in the current form and related forms.
• Clear Block – Clears or blanks out all records from the current block. The block is now ready for you to enter a new record. It does not delete existing information from the database. If you had entered new information or changed information and had not selected Commit (Save) before you selected Clear Form Rollback, the information will not be saved to the database.
Next Block – Moves the cursor to the next block in the form. If that block is on another page of the form, it also moves to that page.
Previous Block – Moves the cursor to the previous block in the form. If that block is on another page of the form, it also moves to that page.

Field
Clear Field – Erases the value in the current field.
Duplicate Field – Copies the value from the same field of the previous record into the current field until you reach the desired field. If a field is not data enterable that field will automatically be skipped.
Previous Field – Moves the cursor to the previous field in the block. To skip fields continue to select next field until you reach the desired field.

Record
Clear Record – Clears or blanks out the current record from the current block. The record is now ready for you to enter new information. It does not delete existing information from the database. If you had entered new information or changed information and had not selected Commit (Save) before you selected Clear Form Rollback, the information will not be saved to the database.
Delete Record – Deletes the record displayed on the form from both the screen and from the database. A record is not permanently deleted from the database unless you then select Commit (Save).
Duplicate Record – Copies the value from all fields of the previous record into the current new record.
Insert Record – Copies the value from all fields of the previous record into the current new record.
Next Record -- Allows you to scroll through the records one at a time. The cursor will remain in the same field. When the last record is retrieved, the message “At last record” will be displayed and an asterisk is placed in front of the count.
Previous Record – Allows you to scroll through the records backwards one at a time. When the first record is retrieved, the message “At first record” will be displayed.
Scroll Down –Allows you to scroll through the records one page/screen at a time. When the last record is retrieved, the message “At last record” will be displayed and the asterisk is placed in front of the count.
Scroll Up – Allows you to scroll through the records backwards one page/screen at a time. When the first record is retrieved, the message “At first record” will be displayed.

Query
Cancel Query (Exit) – Terminates a query you are entering.
Count Query Hits – If you are doing an Enter Query (Search), this function tells you how many records matching your search criteria would be retrieved if you Execute Query. It lets you check on the size of the query before you actually perform the query.
Enter Query – Clears the current block and allows you to enter query (search) criteria in one or more fields. To perform the query, Select Execute Query. To cancel query, Select Cancel Query or Exit.
Execute Query – Retrieves all the records from the database that match the query (search) criteria you specified. Only those records that you can fit onto the screen are displayed. If there are more records, the Count on the Status Lines does not have an asterisk in front of the number. Select Next Record or Scroll Down to retrieve and display more records.
Exit with Value – Places the value you selected from a list and places it in the field of the form you queried.
List (formerly List Field Value) – Displays the possible values for the current field. The list will appear in a pop-up window, to get window full-screen size, Select Next Block. To insert one of the values into the field, Select Exit with Value. To exit the list and return to the form without a value, Select Exit.
Wildcard – The percent sign (%) is used in query and search techniques as a place marker for multiple characters. The underscore (_) is used as a place marker for one character. For example: Apple% The system is instructed to search for all people’s last name that begin with Apple%. Wildcards can be used many times in one search, for example %pp%e. The underscore can be used to find one character, for example, App_e will find both Apple and Appee.

Other
Accept/Commit/Save – Saves information to the database. This could be new information, changes to existing information, or deletions of information since the last time you Saved.
Edit – Expands message/text fields to more than one line for inputting and reading.
Exit/Cancel – Exits the current form and backtracks to the preceding form or menu. Exit/Cancel form the Main Menu takes you out of the system.
Print – Prints the current screen to an output file.

Help
Auto Help Line -- Located at the bottom left of your form
Display Error – If you see a message on the Auto Help Line about an ORACLE error, Selecting Display Error will provide further technical detail about the error that occurred. It is usually an indication of a serious problem, and you should make a note of it and call Help Desk at ext 2920.
Dynamic Help – Provides on-line explanations about the current form, block, and field.
Help – Displays a screen that describes the characteristics of the data that can be entered in the current field, as well as characteristics of the field inself.

 

How do I create a population selection?

You will need the following information: Application name (i.e. STUDENT, HREMPL), name of pop sel (Form GLISLCT lists the pop sels), logon of creator.

To select your population, run the process GLBDATA from form GJAPCTL. Enter the name of the pop sel in the first parameter, Selection ID 1. Enter the application name in parameter 6 Application code. Enter the logon of the creator in parameter 7 Creator ID. Submit and Save. If there is a dynamic variable, you need to answer parameter 88. Submit and Save again.
Your selection is running. The selection process takes awhile. You will know its complete when you are notified by email that your process has run.

Check the names on forms GLIEXTR or GLAEXTR. User ID is your login.
Note: To count number of labels, select Query on Menu Bar and then count hits. The count will appear at the bottom-left of the form.
When your project is complete, delete the pop sel on form GLAEXTR.
Each pop sel user creates a unique list. If a pop sel is created by another user, you must use their user ID.

 

How do I create labels?

You will need the following information: Application name (i.e. STUDENT, HREMPL), name of pop sel (Form GLISLCT lists the pop sels), logon of creator, and logon of person running popsel (GLBDATA).

To create your labels, run the process GLBDATA from form GJAPCTL to create a pop sel. Then run GZRLABL. Enter the name of the application name in the first parameter, Application ID. Enter the pop sel name in parameter 2 Selection ID. Enter the logon of the creator in parameter 3 Creator ID. Enter the current date in parameter 4 Address Date. The address type is usually 1PE or could be 1CA, 2PE. Follow the instructions for each parameter. Submit and Save. You will know its complete when you are notified by email that your process has run.

After the labels are printed, delete the pop sel on form GLAEXTR.

Note: Each pop sel user creates a unique list. If a pop sel is created by another user, you must use their user ID.

 

How do I customize my personal menu in Banner?

The Personal Menu Maintenance Form (GUAPMNU) lets you create and edit your personal menu. A personal menu includes the forms, jobs, and menus that you use most often in your day-to-day work.

The form creates a personal menu tied to your Oracle user ID. Once the personal menu is created, you can access it by clicking the My Banner at the top of the main menu.

Use the pull-down list above the left pane to select the object type you want to display. The left pane lists the available objects of the selected type. You can build a personal menu by selecting or removing the items using the arrows in the center. The selected items will move to the right section. The right pane lists the contents of the personal menu.


 

 

 

How do I extract data from Banner?

You can extract detail data from the current block. The form must be set up in the Object Maintenance form. Not all forms are supported for data extract by SCT. If your form does not have the extract feature enabled, contact Help Desk. Go to the Help pull-down menu. You can tell that the extract feature is enabled on a specific form if one or both of the extract options is enabled. This form has been set up in the Object Maintenance Form to Extract Data with No Key. Click ‘Extract Data No Key’.

Each record is a row on your spreadsheet. The file destination default is c:/temp. The default should be changed to c:\Windows\Temp if you have Windows XP. The default can be changed on the form GUAUPRF. If you do not have access to GUAUPRF, contact Help Desk to change the file destination.

 

 

How do I put a survey or election on the web?

Email the alias, survey@sju.edu, the following information:
• Survey/ballot name
• Questions/answers or offices/candidates
• Targeted population, for example all students, day students only or faculty/staff
• Dates the survey/ballot will start and end

What are some common error messages?

ORA-1034
Probable explanation: ORACLE is down

Action: Check the Banner hours of service. If the database is scheduled to be up, then call Help Desk at ext 2920 or email helpdesk@sju.edu.

ORA-12154
Probable explanation: The database name specified was not recognized.
This error message occurs when a user attempts to logon to an Oracle database. This is the name entered in the third field of the ORACLE logon box.
Action: Check that the database name has been spelled correctly. If the database name has been entered correctly, call Help Desk ext 2920 or email helpdesk@sju.edu.

ORA-12545
Probable explanation: The IP address for database server could not be found.
This error occurs when the client computer tries to look up the hostname of the database to get its IP address. The lookup is failing.
Action: Call Help Desk ext 2920 or email helpdesk@sju.edu

ORA-12649
Probable explanation: Something’s gone wrong with a local Oracle install

Action: Call Help Desk ext 2920 or email helpdesk@sju.edu

ORA-12683
Probable explanation: Advanced Networking Option is not installed

Action: Call Help Desk ext 2920 or email helpdesk@sju.edu

Banner session simply disappears without any error message or Banner session freezes and cannot be unlocked.
Probable explanation: None
Action: If you have the “Message not found” dialog box, then click the pushbutton (may need to repeat) to get back to Banner. If this doesn’t work, then you may need to kill the Banner session: press Ctrl+Alt+Delete, select “Task List…”, select Banner and click End Task. In rare cases it may be necessary to reboot or even power off the machine.

Banner session is disconnected after a period of inactivity.
Probable explanation: This is normal. Inactive sessions are timed-out after one hour to enforce system security and to free up system resources.
Action: Login again. In general, to prevent time-outs you should shut down your session cleanly if you will not be using it for a while.

Max Extent error
Probable explanation: A table used in processing has reached it space limit and will not accept new records.
Action: The DBA’s will need to increase the size of the table. Call Help Desk ext 2920 or email helpdesk@sju.edu

You cannot submit this job – it is already running
Probable explanation: You will also get this message if a previous run of this program is aborted.
Action: The control record for that run must be deleted before processing. Call Help Desk ext 2920 or email helpdesk@sju.edu
